How to Automatically Send Pickup & Delivery Photos, BOLs, and PODs

Automatically send specific driver documents to the right people with Truckpedia automations.

Truckpedia allows you to automatically send notifications when drivers upload documents from the Driver App.

You can now choose which type of document should trigger the automation, giving you more control over what gets sent to your customers, dispatchers, or other recipients.

You can create automations for:

  • Pickup
  • Delivery photos
  • BOL
  • POD

For example, if your customer only wants to receive the POD, you can set up an automation that sends the POD without sending other documents uploaded by the driver.

Step 1: Go to Automation Setup
  1. Click Automation in the bottom-left corner of the screen.
  2. Select Create Automation.
Step 2: Choose the Trigger

Under Trigger Type, select:

When driver clicks on

Then, under Trigger Option, select the type of document you want the automation to respond to.

You can choose:

  • Pickup
  • Delivery photos
  • BOL
  • POD

Why does the document type matter?

Previously, selecting Upload could cause the automation to respond to driver document uploads generally.

With the document-specific options, you can choose exactly what should trigger your automation.

For example:

POD selected → Driver uploads POD → Automation runs

Other documents uploaded by the driver will not trigger that POD automation.

Step 3: Choose What Happens When the Document Is Uploaded

In the Run Actions section, choose what you want Truckpedia to do when the selected document is uploaded.

For example, you can choose:

Send an email

You can send the notification to:

  • Send an email to dispatcher
  • Send an email to load collaborators
  • Send an email to other addresses
  • Send an email to the customer

Send an email to the dispatcher

If you want the assigned dispatcher to receive the notification, choose the dispatcher email option.

Important: The dispatcher must be assigned to the load for them to receive the automated notification.

Send an email to load collaborators

If the customer is added to the load collaborators, you can configure the automation to send the notification to the customer.

Send an email to other addresses

If you want to send the notification to someone who is not the dispatcher or customer, select: send an email to other,  then enter the email addresses.
If you are adding multiple email addresses, separate them with commas.

Send an email to the customer

If you want to send the notification to customer, choose the customer email option.

Step 4: Submit the Automation

Once you have selected your document trigger and configured the action:

  1. Review your automation settings.
  2. Click Submit.

Your automation is now ready to run when the selected document is uploaded by a driver.

Example: Automatically Send Only the POD

Let's say your customer wants to receive the POD as soon as the driver completes the delivery.

You can create an automation like this:

Trigger Type:
When driver clicks on

Trigger Option:
POD

Action:
Send an email to customer 

Recipient:
Customer

Now, when the driver uploads the POD, the automation will send the POD according to your configured email settings.

Other documents uploaded by the driver, such as a BOL, receipt, or other document, will not trigger this POD automation.

Frequently Asked Questions

Can I send only the POD instead of every document the driver uploads?

Yes.

Select Upload POD as the Trigger Option instead of the general option.

The automation will then respond specifically to POD uploads.

Can I create separate automations for different document types?

Yes.

You can create separate automations for Pickup, Delivery photos, BOL, and POD.

For example, you could:

  • Send PODs to customers
  • Send BOLs to brokers
  • Send delivery photos to customers
  • Send pickup photos to your internal team

If a driver uploads a BOL, will my POD automation run?

No.

A POD-specific automation is designed to respond only when the selected document type—POD—is uploaded.

Can I send the document to multiple people?

Yes. You can use Send an email to other and enter multiple email addresses separated by commas.

Can the dispatcher receive the notification?

Yes. The dispatcher can receive an automated notification as long as they are assigned to the load.

Can the customer receive the notification?

Yes. If the customer is added to the load collaborators, you can configure the automation to send the email to the customer.

What document types can I use as triggers?

The available document-specific options are:

  • Pickup
  • Delivery photos
  • BOL
  • POD
