Accessing the Payroll System and Reviewing Payment Details

Steps:

1. Access the Payroll System

  • Log into HubSpot and go to the Accounting section.
  • If the menu is collapsed, click the arrow to expand it.

2. Review Loads in Driver Planning

  • Select the relevant pay period (e.g., 30th to 6th).
  • Review the driver loads scheduled during this period.

3. Adjust Payment Details

  • If you want to calculate the deadhead miles, checkmark the box

  • Click on each load and verify the information

  •  Click to open the load and go to the Billing tab.
  • Review and adjust payment details, including per-mile rates and reimbursements.

Finalizing Settlements, Emailing Payment Details, and Managing Errors

Steps:

4. Process Driver Payment

  • After reviewing and adjusting the payment details, select the loads to pay.
  • Click End Trip to move the selected loads to the Driver Pay Settlement section.

5. Finalize the Settlement

  • In Driver Pay Settlement, verify the total payment amount.


  • Click Approve to finalize the driver’s settlement.

6. Email Payment Details

  • After approval, click the Invoice button to email the payment breakdown to the driver.

  • The email will include the total amount, taxes (if applicable), and any other relevant details.

7. Correcting Errors and Re-Submitting Settlements

  • If a mistake is made, delete the incorrect settlement.
  • Adjust the pay details and reprocess the settlement by returning to Driver Planning and selecting the correct loads.
