Learn how to set up automated workflows in Truckpedia to send emails for various events. Automations can trigger reminders or updates for tasks like load changes, document expirations, maintenance, and more.

1. Access Workflow Automations
To get started, click on the happy face cursor icon in the bottom left menu,
then select Create Automation.
2. Set Up a Trigger-Based Automation
Automations in Truckpedia can be triggered by specific driver actions. You can select from the following triggers:
- When a driver clicks on
- At a scheduled time
- Reminder
- Expiration reminder
- Load collaborator added
After selecting your trigger, choose the action that follows. For example, you can send a load update email to the dispatcher, customer, or load collaborator.
3. Configure Action Settings
Once you select your trigger, configure the action. For email-based actions, specify who will receive the email: For this example, we will create an automation that sends an alert to a customer or broker when a driver updates a load by clicking any of the buttons.
Select who you want to receive the emails. The customer email typically does not change so you can select to email the customer. Note, if you want to send updates to brokers, you should select collaborator emails because the email changes each time depending on the account manager.
Select the trigger details. In this case we will select when the driver clicks on a button on the Truckpedia app, and select all.
- Customer: Use a default email for your customer, or set a different email for brokers.
- Dispatcher: Send updates to the dispatcher or any collaborators on the load.
After setting the action, click Submit to create the workflow. The automation will then be live and will trigger based on the specified actions.
1. Set Up Expiration Reminders
Another useful automation is Expiration Reminder. This automation allows you to send reminders for document expirations (e.g., registration, insurance, permits).
- Select how many days in advance you would like to receive the reminder. You have the option of selecting multiple reminder days.
- Select the drivers, trucks, or trailers you want reminders for.
- Choose the type of expiration (e.g., insurance, registration).
- Enter the email addresses to receive the reminder, including the driver's email if available.
- Once set, type in the reminder message (e.g., "Your insurance is expiring soon"), then click Submit.
2. Set Up Email Reminders
You can also set automations to trigger at specific times or intervals. For example, you might want to send a reminder email at the beginning of each month, or set up a maintenance reminder every 30 days.
- Choose the Interval type (Day)
- Select the Timing for the reminder to be sent, and for which asset.
- Select the maintenance due date for each asset.
After configuring the timing and recipients, click Submit to create the scheduled automation.
Set up the email that you will like to be sent out with the automation, and click Submit.
Once you've created the automation, it will be live and automatically run based on your triggers and schedules.
